How CareDocPro works

From a blank page to a draft your service can own.

CareDocPro uses one agency profile to create personalised working drafts. Your job as the responsible manager is to challenge, amend and approve each document before it becomes part of practice.

The complete workflow

Four steps, with professional judgement at the centre.

The software helps with drafting and consistency. The manager remains responsible for accuracy, approval and implementation.

01

Agency profile

Add the facts once.

Start with the details that should stay consistent across your documents: agency name, registered manager, address, local authority, regulated activities, service description and key contacts.

  • One profile for one agency
  • Reuse details across document drafts
  • Update the profile when your service changes

Your profile is the source material. Keep it accurate and specific.

02

Document choice

Choose the document that solves today’s problem.

Select a core or specialist policy, a care document, a registration document or the full CQC Registration Pack. You do not need to create everything at once.

  • 10 core policy types on Free
  • 39 policy types on Pro
  • 47 documents on Unlimited
  • 18 documents in the one-time Registration Pack

Start with the document your team needs to understand or use now.

03

Working draft

Generate around your real service.

CareDocPro combines the selected document structure with your agency profile to produce a substantial working draft. It is designed to move you beyond a blank page and a generic template.

  • Agency details placed into the draft
  • Relevant roles and routes reflected
  • Structured for manager review
  • Word and PDF downloads on paid plans

Generation is the starting point for professional review, not the final approval.

04

Manager review

Challenge it before your team relies on it.

Read every section. Compare it with current law and guidance, your local arrangements, staff competence and what actually happens in practice. Amend anything that is not true, clear or workable, then approve it through your own governance process.

  • Check current guidance and local routes
  • Align wording with daily practice
  • Assign ownership and review dates
  • Brief staff and collect evidence of use

A strong document is one your staff can explain and your evidence can support.

The manager review

The questions no generator can answer for you.

A document becomes useful when it is accurate, understood and supported by what happens in your service.

Is it true?

Names, locations, responsibilities and processes must match the service you actually operate.

Is it current?

Check legislation, statutory guidance, CQC material and local contact routes at the time of approval.

Is it understood?

The people named in the document should know their role and be able to explain the procedure.

Can you evidence it?

Training, audits, records, supervision and improvement actions should support what the document says.

“I know what it is like to have CQC ask how your policies work in practice. CareDocPro gives managers a useful starting point, but the thinking and ownership must stay with us.”

Common questions

What CareDocPro does, and what it does not do.

Does CareDocPro produce a finished policy automatically?

No. It produces a working draft. The responsible manager must review, amend and approve it before the service uses it.

What makes the draft specific to my agency?

The draft uses information from your agency profile, including your service details, manager, operating context and relevant local routes. The quality of the result depends partly on the accuracy of the information you provide.

Can I test the workflow without paying?

Yes. Start with the free safeguarding policy or the Free plan. No payment card is required.

Can CareDocPro replace my professional judgement?

No. CareDocPro supports drafting. It cannot observe your service, assess staff competence or approve a procedure on your behalf.

Will a generated document guarantee CQC registration or a rating?

No. CQC considers the provider, people, leadership, systems and evidence in practice. Requirements can vary by provider and service type.
