Terms & Conditions

By accessing or using CareDocPro (the “Service”), operated by A Star Care Agency Limited (“we”, “us”, “our”), you agree to be bound by these Terms and Conditions. If you do not agree to these terms, you must not use the Service. We reserve the right to update these terms at any time. Continued use of the Service after changes constitutes acceptance of the revised terms. We will notify registered users of material changes via the email address associated with their account.

CareDocPro is an AI-powered document generation platform designed for UK domiciliary care providers. The Service generates customisable policy templates, procedures, care documents and registration pack materials built against current CQC standards and UK regulatory requirements. Documents are generated using artificial intelligence and are provided as professionally structured templates. They are not a substitute for independent legal, regulatory or professional advice. You are responsible for reviewing, adapting and approving all generated documents before use in your organisation.

You are responsible for: • Providing accurate and up-to-date agency information when generating documents. • Reviewing all generated documents before use and adapting them to your specific circumstances. • Ensuring generated documents are approved by an appropriately qualified person within your organisation before implementation. • Keeping your account credentials secure and not sharing access with unauthorised third parties. • Using the Service only for lawful purposes in connection with the operation of a care service. • Not using the Service to generate content that is misleading, fraudulent or intended to deceive regulators. • Complying with all applicable laws and regulations, including CQC requirements, when using generated documents.

All underlying templates, prompts, system architecture, branding, logos and software code remain the intellectual property of A Star Care Agency Limited. You may not copy, reverse-engineer or redistribute the Service or its underlying technology. Documents generated through the Service are produced using your agency-specific information combined with our template framework. Once a document has been generated and downloaded, you own the customised version of that document and may use, edit, print and distribute it freely within your organisation. This licence is non-exclusive, perpetual and royalty-free for the customised output only. You may not resell, redistribute or commercially exploit generated documents as templates or as part of a competing service.

CareDocPro offers the following plans: • Free Tier: 10 core policies with 3 generations per month at no cost. Free documents are available as PDF exports only (watermarked). • Pro Plan: £29 per month, billed monthly. Includes 10 generations per month, PDF and Word exports, access to all 46 document types, policy update alerts when legislation changes, and Ada mentor preview features. Cancel any time with no notice period. • Unlimited Plan: £49 per month, billed monthly. Includes unlimited document generation, all Pro features, the full Ada AI mentor experience, and priority support. Cancel any time with no notice period. • CQC Registration Pack: £129 one-time payment. Includes 18 documents specifically required for CQC registration applications. Yours to keep forever. No subscription required. All prices are in pounds sterling (GBP) and inclusive of VAT where applicable. We reserve the right to change pricing with 30 days’ notice to existing subscribers. Payment is processed securely through our third-party payment provider. We do not store your payment card details.

Pro Plan subscriptions can be cancelled at any time through your account settings. Cancellation takes effect at the end of the current billing period. You retain access to Pro features until the end of the period you have paid for. No partial refunds are given for unused portions of a billing period. CQC Registration Pack purchases are non-refundable once documents have been generated. If you experience a technical issue preventing document generation, contact us within 14 days of purchase at hello@caredocpro.com and we will resolve the issue or issue a full refund. Statutory cancellation rights under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013 apply. You have the right to cancel within 14 days of purchase without giving a reason, provided documents have not yet been generated.

The Service is provided “as is” and “as available” without warranties of any kind, whether express or implied, including but not limited to implied warranties of merchantability, fitness for a particular purpose, or non-infringement. Generated documents are templates for guidance only. They do not constitute legal, regulatory or professional advice. A Star Care Agency Limited does not guarantee that generated documents will satisfy CQC or any other regulatory body’s requirements in every case. Compliance with regulations is ultimately your responsibility. To the fullest extent permitted by law, A Star Care Agency Limited shall not be liable for any indirect, incidental, special, consequential or punitive damages, including but not limited to loss of profits, data, business opportunities or goodwill, arising from your use of the Service. Our total liability for any claim arising from the Service shall not exceed the amount you have paid to us in the 12 months preceding the claim. Nothing in these terms excludes or limits liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or any other liability that cannot be excluded by law.

Your use of the Service is also governed by our Privacy Policy, which explains how we collect, use and protect your data. By using the Service, you consent to our data practices as described in the Privacy Policy. Agency profile information is stored locally in your browser until you create an account. When you generate a document, your information is sent transiently to our AI provider (Anthropic) for processing but is not stored on their servers beyond the generation session. We do not sell your data to third parties.

We aim to provide continuous access to the Service but do not guarantee uninterrupted availability. The Service may be temporarily unavailable due to maintenance, updates or circumstances beyond our control. We will endeavour to provide advance notice of planned maintenance. We reserve the right to modify, suspend or discontinue any part of the Service at any time. In the event of permanent discontinuation, we will provide reasonable notice and, where applicable, pro-rata refunds for unused subscription periods.

We may suspend or terminate your access to the Service immediately if you breach these terms, use the Service fraudulently or act in a way that could harm other users or the Service. Upon termination, your right to use the Service ceases immediately. Provisions that by their nature should survive termination (including intellectual property, limitation of liability and governing law) will continue to apply.

These Terms and Conditions are governed by and construed in accordance with the laws of England and Wales. Any disputes arising from or in connection with these terms shall be subject to the exclusive jurisdiction of the courts of England and Wales. If any provision of these terms is found to be invalid or unenforceable, the remaining provisions shall continue in full force and effect.
